Welcome to TheraPages. These terms and conditions set out the rules for using our "done-for-you" website service. By using the service, you agree to these terms, so please read them carefully.
TheraPages is the trading name and a registered trademark of Code Meadow Limited. Legally, the service is provided by:

In these terms, "we", "us", and "our" refer to Code Meadow Limited, trading as TheraPages. "You" and "your" refer to you, our customer. Our service is intended for therapists and private-practice clinicians buying a website for their practice, and is provided to you in the course of your business or profession.
The TheraPages promise
We believe in our websites, and we work hard to give you truly excellent service. Because of that, every Complete Therapist Website comes with a three-part promise:
- Ready in one week. We build your draft website and aim to have it ready for you to review within one week of starting, working Monday to Friday (see section 2).
- Accessible at handover. Your site is built to meet the WCAG 2.2 AA standard at the point we hand it to you (see section 5 for what this does and does not mean).
- Happy, or your money back. If you are not completely happy at any point before you sign off your site to go live, we refund everything you have paid (see section 7).
1. Our service
TheraPages builds, hosts, and maintains professional websites for therapy practices. We offer two products: the Complete Therapist Website, set out in full in section 1a, and the Bespoke / Complex Website, described in section 1b.
We provide the service with reasonable skill and care. Descriptions of speed, accessibility, search performance, and similar benefits elsewhere on our website are there to explain what we do, and should be read together with the caveats in these terms rather than as guarantees of a specific result.
1a. The Complete Therapist Website
The Complete Therapist Website is our standard product. It includes:
- A first draft written from your own words. We start from your existing material (such as a directory profile, an old website, or a leaflet) and develop it into a complete first draft of your site, reworded to fit each part of the site while keeping your voice. This is a starting point for you to edit, not a finished article.
- Unlimited pages. Your website can have as many pages as you need.
- A design built for therapists. We start from a template suited to your practice and tailor it with you (for example colour, font, and layout choices). The underlying page structure is agreed at the outset and is the one element we cannot freely change later.
- Accessibility built in. Your site is built to target the WCAG 2.2 AA standard. Please see section 5 for what this does and does not mean.
- A responsive design. Your site is built to display and function across common mobile, tablet, and desktop screen sizes.
- Fast, secure hosting. Your site is hosted on our platform and served over a content delivery network. It includes a free SSL certificate and runs over HTTPS, which we renew automatically.
- Search-engine foundations (SEO). We build your site with the technical foundations that help search engines understand it, including clean structure, page titles, descriptions, and a sitemap. See section 10 for the limits of this.
- A simple editing system. Once live, you can log in and update your own text and images, and add a blog if you wish, through our editor.
- Help connecting your domain. We help you connect your own domain to your website. Buying and renewing the domain itself is your responsibility (see section 3).
- Standard policy pages. We set up standard policy pages a website needs, such as a cookie notice and a privacy policy, written in plain English, and configure your site to handle visitor data appropriately. The legal responsibility for these remains with you as the owner of the website. Please see section 6.
- Ongoing support, hosting, and maintenance. Your monthly fee includes hosting, essential security updates and maintenance, and support from us. See section 8 for what support covers.
1b. The Bespoke / Complex Website
The Bespoke / Complex Website is for group and multi-practitioner practices, fully custom designs, or projects that need custom software. It includes everything in the Complete Therapist Website as a baseline. The exact scope and price are agreed with you in writing before we begin, and form the basis of our contract.
2. How the process works
- Prepare. We have an initial conversation about your practice and explore the design options with you. If it is a good fit, we agree the plan, take payment, and begin the build. (See note on payment timing in section 7.)
- Build.
What we do
We build a complete, working draft of your website from the design we agreed and content expanded from your existing words, on a temporary TheraPages web address (a subdomain) so you can see it as it takes shape. We aim to have this draft ready for you to review within one week of starting, working Monday to Friday. Busy periods or weekends may add a little time.
What you do
Once your draft is ready, you edit the content as much or as little as you like until you are happy with it. We allow up to two weeks for this review and editing process, and we are on hand to help if you get stuck.
- Sign-off and launch. When you are happy with your site, you sign off, and we make it live. Signing off is the point at which you review the subdomain version of your site and approve it to go live. Once you have signed off, we give the site a final polish, check accessibility, help connect your own domain to our platform, and take it live. Up until the moment you sign off, if you are not completely happy, our money-back promise applies (see The TheraPages promise and section 7).
3. What we need from you
For the service to run smoothly, we need a few things from you:
- Your existing material. Links to your existing directory profiles, website(s), and social media, so we can build your draft.
- Your content. You are responsible for the text and images on your website. You confirm that you have the legal right to use any content you provide, and that it does not infringe anyone else's rights.
- Accuracy and legality. You are responsible for the accuracy and legality of all content on your website, including any professional, clinical, or regulatory claims you make.
- Timely feedback. Please provide your feedback and edit requests within the two-week review period.
- Your domain name. You are responsible for buying and renewing your own domain (for example www.yourpracticename.co.uk), and your domain always belongs to you. The domain is not included in the price. We help you connect it to your TheraPages website.
- Looking after accessibility when you edit. Your site is built to be accessible, but content you add or change yourself can affect that. See section 5.
You agree to reimburse us for any reasonable loss, claim, or cost we incur as a result of content you provide or publish infringing someone else's rights or breaking the law. This does not cover anything caused by our own work.
4. Your website and our platform
Your content. You own all the text, images, and client-facing content you provide, and we will never use it for any other purpose without your permission. If you leave, you are free to take all of your written and visual content with you.
Our platform. We own the TheraPages platform, its underlying code, and the design and structure of the website we build for you. If you leave our service, you cannot take the website's design, templates, or code to another provider, and you may not copy, resell, or reverse-engineer the platform.
5. Accessibility
Accessibility is central to what we do. Every site we build is designed and built to target the WCAG 2.2 AA standard, the recognised benchmark for accessible websites, from the first draft rather than as an afterthought.
Please understand the limits of this:
- No website can honestly claim to be perfectly or "100%" accessible, and we do not make that claim. We build to a high standard, but we do not warrant that your site is free of every possible accessibility issue or that it meets the requirements of any particular law applicable to you.
- Our accessibility work applies to the site as we build and deliver it. Content you add or change yourself (for example images without descriptions, low-contrast colours you introduce, or documents you upload) can reduce your site's accessibility. Keeping your own edits accessible is your responsibility, and we are happy to help if you ask.
- If you are under a specific legal accessibility obligation, you are responsible for confirming that your site meets it, and we recommend seeking your own professional or legal advice.
Our Accessibility page explains in more detail what we do and why it matters. That page is for information and does not form part of these terms.
6. Compliance pages
As standard, we set up the standard policy pages a website needs to handle visitors properly, such as a cookie notice and a privacy policy, written in plain English, and we configure your site to deal with cookies and visitor data appropriately.
These are standard pages to get you started, not legal advice, and they are not tailored to the specific way you run your practice or to the particular client data you hold. As the owner of the website, the legal responsibility for these pages and for your wider compliance remains with you. This includes your obligations under data-protection law, where you (not us) are the data controller for your clients' information. You are responsible for reviewing, completing where needed, and taking your own professional advice on these pages and on your wider obligations before relying on them. Statements such as your site being "compliant from day one" describe this standard set-up, and are not a warranty that your site or your practice meets every legal requirement that applies to you. We are not liable for any shortfall in pages or settings that you adopt, edit, or publish.
7. Payments and subscription
Our service consists of a one-time setup fee and a recurring monthly subscription fee. All fees are agreed and clearly stated before you agree to the service. Any promotional or "early adopter" pricing applies on the terms stated at the time you sign up.
- Offers and discounts. We may change, withdraw, or replace the offers and discounts shown on our website at any time, so an offer you saw before may differ when you return. This does not affect a price we have already agreed with you. Unless we say otherwise, any discount on your monthly fee lasts for the first six months, after which the standard monthly fee applies.
- Currency and VAT. Fees are in pounds sterling. We do not currently charge VAT. If that changes, we will update these terms.
- When you pay. To keep things simple, we take the setup fee and your first month's subscription together when you agree the plan and we start your build. After that, your monthly subscription is billed in advance, one month at a time.
- Failed payments. If a payment fails, we will let you know. If it remains unpaid, we reserve the right to temporarily suspend your website until the payment is settled.
- Refunds. We want you to be genuinely happy with your website. If at any point before you sign off your site to go live you are not completely happy, we will refund everything you have paid, including the setup fee and any subscription paid to that point. We will always do everything we reasonably can to put things right first, and we are on hand throughout your review period to help. Once you have signed off and your site goes live, the money-back promise has been met; from that point, you can cancel your monthly subscription at any time under section 9, and any further refund is at our discretion.
If you are buying as a consumer rather than in the course of your business, you may have a statutory right to cancel within 14 days. Our money-back promise applies to you in any event, and gives you a full refund at any time before you sign off your site to go live.
8. Ongoing support
Your monthly fee includes support from our team. This covers:
- Fixing technical issues or bugs with your website.
- Help with small edits and updates.
- Answering questions about how to use your editing system.
- Help with service-related queries.
Support does not include significant new features, custom development, or major redesigns once your initial review period has ended. You can add and edit your own pages at any time through the editor as part of your plan. Larger pieces of custom work after launch can be arranged for an additional fee, which we will agree with you first.
9. Cancellation and termination
You can cancel your monthly subscription at any time. On cancellation, your website stays live until the end of your current paid billing period, after which it is taken offline. You can take a copy of your written and visual content with you.
We may suspend or terminate your service if you breach these terms or fail to make payment. After termination, we are not obliged to keep your site or its data indefinitely, so please keep your own copies of anything you need.
10. Ongoing service availability and no guarantees
This section is about the ongoing service once your website is live. The commitments we make while building your site are set out in The TheraPages promise and in sections 2 and 7. We provide the ongoing service with reasonable skill and care, but we cannot guarantee it will be available or error-free at all times. In particular:
- Speed comparisons (such as loading faster than a typical WordPress site) are illustrative and depend on factors including your content and the visitor's connection.
- Search ranking. We build solid technical SEO foundations, but we do not control search engines and cannot guarantee any particular ranking, traffic, or number of enquiries.
- Uptime. We aim to keep your site available at all times, but occasional downtime can occur for maintenance or reasons beyond our control.
- Events outside our control. We are not responsible for delays or failures caused by events beyond our reasonable control, such as outages affecting our hosting or other suppliers, internet or power failures, cyber-attacks, strikes, or government action. If this happens, we will let you know and do what we reasonably can to limit the disruption.
11. Limitation of liability
We provide our service with reasonable skill and care. To the fullest extent permitted by law, Code Meadow Limited will not be liable for any indirect or consequential loss, or for any loss of business, profits, goodwill, or data arising from your use of the service. Our total liability to you in any circumstance is limited to the total amount you have paid us in the three months before the event giving rise to the claim.
Nothing in these terms limits or excludes any liability that cannot lawfully be limited or excluded.
12. Data protection
Each of us will comply with our obligations under applicable data protection law. Where we process personal data on your behalf in providing the Services, that processing is governed by the Data Processing Terms in Schedule 1, which forms part of these terms.
Schedule 1: Data Processing Terms
These Data Processing Terms form part of the agreement between Code Meadow Limited, trading as TheraPages (“we”, “us”, “our”), and you, our client (“you”). They apply whenever we process personal data on your behalf in providing the Services. If anything in these terms conflicts with the rest of the agreement, these terms take precedence on the subject of data protection.
1. What these terms cover, and our roles
When we build and host your website, that website may collect personal data from the people who visit it, for example through a contact or enquiry form. For that data:
- You are the controller. You decide why and how the data is collected and used.
- We are the processor. We handle the data only to provide the Services to you, and only as you instruct.
These terms set out how we handle that data, as required by UK data protection law, in particular Article 28 of the UK GDPR. They do not cover the personal data we hold about you as our client, which we handle as a controller and explain in our Privacy Policy.
2. Your responsibilities as controller
You confirm that:
- you have a lawful basis to collect and use the personal data your website processes;
- you have given the people whose data is collected the privacy information the law requires, for example through your own privacy notice on your website;
- your instructions to us about that data are lawful; and
- where your website collects information that people choose to share in free-text messages, which in your field may include health or other sensitive information, you are responsible for handling that appropriately as its controller.
3. Our obligations as processor
We will:
a. Process only on your instructions. We will process the personal data only to provide the Services and on your documented instructions, including in relation to any transfers, unless the law requires otherwise. If the law requires us to process the data in another way, we will tell you first, unless the law prevents us from doing so.
b. Tell you if an instruction looks unlawful. If we believe an instruction from you would breach data protection law, we will let you know.
c. Keep it confidential. We will make sure that anyone we authorise to process the data is bound by a duty of confidentiality.
d. Keep it secure. We will put in place appropriate technical and organisational measures to protect the data against loss, misuse, and unauthorised access, taking account of the risks involved, as required by Article 32 of the UK GDPR.
e. Use sub-processors responsibly. We may engage other providers (sub-processors) to help deliver the Services, as listed in the Appendix. We will place data protection obligations on them that are equivalent to these terms, and we remain responsible to you for what they do. We will give you reasonable notice of any intended change to our sub-processors, so that you have a chance to object.
f. Help you meet your obligations. Taking account of the nature of the processing, we will help you, as far as we reasonably can, to:
- respond to requests from individuals exercising their rights, such as access, correction, or erasure; and
- meet your own obligations around security, breach notification, and data protection impact assessments.
g. Handle data breaches. If we become aware of a personal data breach affecting your data, we will notify you without undue delay, and give you the information you reasonably need to meet your own reporting obligations.
h. Return or delete at the end. When the Services end, we will, at your choice, either delete or return the personal data, and delete any existing copies, unless the law requires us to keep it.
i. Demonstrate compliance. We will make available to you the information reasonably needed to show we are meeting these obligations, and we will allow for and contribute to reasonable audits, including inspections, carried out by you or an auditor you appoint.
4. International transfers
Some of our sub-processors may process data outside the UK. Where they do, we will make sure an appropriate safeguard recognised under UK data protection law is in place, such as the UK extension to the EU-US Data Privacy Framework, or the ICO’s International Data Transfer Agreement.
5. Liability and precedence
These terms form part of the agreement, and any limits on liability in the main agreement apply to them too, except where the law does not allow it.
Appendix: Details of the processing
Subject matter: Our provision of the website building and hosting Services to you.
Duration: For as long as we provide the Services to you under the agreement.
Nature and purpose: Hosting and operating your website, and processing the personal data submitted through it on your behalf, so that your website works and enquiries reach you.
Types of personal data: Typically the name, email address, phone number, and message content submitted by visitors through your website’s contact or enquiry forms, together with any other information a visitor chooses to include, which may include health or other sensitive information.
Categories of data subjects: Visitors to your website who submit their details, such as prospective and existing clients of your practice.
Sub-processors:
- Amazon Web Services (AWS), for hosting and infrastructure.
- Cloudflare, for content delivery and website security.
- Resend, for routing enquiry messages to you.
- Umami, for cookie-free, anonymous website analytics. Umami does not use cookies and does not collect personal data, and is listed here for transparency.
13. Other documents
These terms should be read alongside our other key policies. By agreeing to these terms, you also acknowledge our:

14. Changes to these terms
We may update these terms from time to time to reflect changes in our service or for legal reasons. We will let you know about any significant changes. Continuing to use the service after changes are made means you accept the updated terms.
15. Governing law
These terms are governed by and interpreted in accordance with the laws of England and Wales. Any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
